Frequently asked questions:

What is a Subject Access Request (SAR)?

A Subject Access Request (SAR), also known as a Data Subject Access Request (DSAR), is a formal request from an individual asking an organisation to provide the personal data it holds about them. Under GDPR, this right ensures transparency around how personal data is used and shared.

Who can make a Subject Access Request?

Any individual whose personal data is processed by an organisation can submit a Subject Access Request. There are no special requirements – the person simply needs to be the data subject.

How do I make a Subject Access Request?

You can make a data access request verbally or in writing. Clearly state that you are requesting access to your personal data and specify what information you need. The organisation’s data protection or compliance team must acknowledge and process your request.

Do I need to prove my identity for a SAR?

Yes. Organisations may require proof of identity to verify that the request is genuine and to protect personal data from unauthorised access.

How long does an organisation have to respond to a SAR?

Under GDPR, organisations must respond to a valid Subject Access Request within one month. For complex or high-volume requests, the response period can be extended by up to two months, but the requester must be informed.

Is there a fee for submitting a Subject Access Request?

Most data access requests are free of charge. However, a reasonable fee may apply for repetitive or clearly unfounded requests.

What file types are supported by document management software?

A document management system supports all standard file formats, including PDF, Word, Excel, TIFF, and JPEG and converts paper records into searchable digital files using OCR technology.

What information should be included in a SAR response?

A proper SAR response includes:

  • Confirmation of whether personal data is processed
  • A copy of that data
  • The purpose and categories of processing
  • Recipients or data sharing details
  • Data retention periods
  • Source of data (if not collected directly)
  • Rights and contact details for complaints

How does data management support Subject Access Requests?

Strong data management systems make it easier to locate, review, and securely share personal data within the legal timeframe. Automated tools help ensure responses are accurate, traceable, and compliant with GDPR.
